Add & manage assets

Your asset register: everything you own, its value, owner and status. Add assets one at a time with the wizard, in bulk via CSV/JSON, or let Smart Intake create them from a document. Each asset carries its depreciation schedule, documents, assignment history and a full audit timeline.

Steps

1. Start the add wizard

Click + Add asset (top right). The wizard walks you through five steps: Category, Details, Financials, Compliance and Review.

2. Pick a category and fill the basics

Choose a category (Laptop, Desktop, Server, Phone, Vehicle, Furniture, Network, Other). Then enter the Name (required); Tag, serial number, vendor, location, department and assignee are optional. A blank tag is generated automatically.

3. Enter the financials

Enter Cost excl. VAT and Purchase date (both required), plus Useful life in months (default 60) and Residual value. A live preview shows the annual depreciation and term.

4. Set compliance, then review & create

Mark Sensitive data and a Data classification (Public, Internal, Confidential, Restricted) and add notes. On the Review step click Create asset — it appears in the register with status In use.

5. Import in bulk (CSV or JSON)

Use Import CSV (pick a file) or Import bulk (paste a JSON array) in the header. Only name is required per row; category, status, serial, tag, location, purchase date and price are optional. A toast reports how many were created.

6. Manage an asset's lifecycle

Open an asset (Detail →) for five tabs: Overview, Financial (depreciation schedule, cost entries, revalue/impair), Documents, Assignments and Timeline. Use the header buttons to Assign, Transfer, Repair, Archive or Dispose; Dispose can require a wipe certificate and an approval.

7. Print the asset tag (QR)

Click the asset tag at the top of the detail page to show its QR code and Print a label. If there is no tag yet, click Generate.

TIP

Financial actions (Revalue, Impair) and Delete require admin rights; most other actions need write rights. The exact buttons shown depend on the asset's current status.
